A proposal is how an itinerary reaches the client. It bundles one or more itinerary options into a single share link, with a covering message and an optional expiry date.
Start the proposal
From the inquiry page, under Proposals to client, click Send proposal to client. If you've sent one before, the button reads Send new proposal.
Pick the options
Under Itinerary options, tick the ones to include. If there's more than one, see Offering several options — the ordering and the recommended pick both matter.
The send button counts what you've selected, so it reads Send 1 option to client and stays disabled with Pick an option to send until you choose something.
Write the covering note
Under Send to:
- Recipient email — pre-filled from the client record, editable.
- Message to the client — also pre-filled. This appears at the top of the client's share page, not just in the email, so it's worth a personal line.
Set an expiry
Offer valid until is optional, with quick-set buttons for 7 days, 10 days and 30 days.
It's not decoration. Prices and availability are guaranteed up to that date, and once it passes the share link expires — the client sees an "ask for a fresh proposal" notice instead of your options.
Set one when your supplier rates have a shelf life. Leave it blank when they don't.
Don't put "prices valid for X days" in your terms and conditions templates. The proposal's own expiry is the real one, and wording that disagrees with it just confuses the client.
What the client gets
Your agency's branding, your message, and a card per option showing the total, duration and trip dates, with View full details → and Pick this option on each.
Tips
- Check the recipient address before sending. It's pre-filled from the client record, which is right most of the time and wrong at exactly the wrong moment.
- Once sent, the itinerary's status changes to Sent and the inquiry moves to Proposal sent in your pipeline — you don't need to update anything by hand.
