Agent delegations

Hand one agent temporary access to another's clients while they're away.

Agents normally work with their own records. Agent Delegations grants one agent temporary read/write access to another's portfolio — their clients, inquiries and itineraries — for a fixed window.

It's the answer to "Priya's on leave for two weeks and her clients still need looking after."

Who can set one up

Agent Delegations appears under My Agency in the sidebar for agency admins. If you can't see it, you don't have the access level to create one.

Creating a delegation

Click New Delegation and set:

  • Source Agent (portfolio owner) — whose work is being covered.
  • Delegate Agent (receives access) — who's covering.
  • Start Date and End Date.

Both agents must be in the same agency.

The list shows every delegation with its source, delegate, dates and status, so you can see at a glance what access is currently live.

What it does and doesn't do

A delegation grants access to the source agent's portfolio — clients, inquiries and itineraries. It's temporary by design: the end date closes it without anyone having to remember.

It isn't a role change. The delegate keeps their own role and their own records; they simply gain reach into someone else's for a while. To change what someone can do permanently, change their role instead — see Team members and roles.

Tips

  • Set the end date when you create it, not later. An open-ended delegation is just a permanent access grant with extra steps.
  • Set one up before the leave starts, not on the first morning someone can't find a booking.
