My Agency → Terms is where you create reusable terms and conditions templates. The one marked DEFAULT is pre-loaded into every new itinerary.
Agents can still pick a different template, or edit the text, on a per-itinerary basis — see Terms and conditions for how that works on a trip.
Managing templates
The page lists your templates with the default badged. Edit opens one for changes; + Add a new template creates another.
More than one is useful when different kinds of trip carry genuinely different terms — group departures versus private tours, say, or a separate set for partner agencies.
Don't write validity periods in here
This one catches people out. Don't write "prices are valid for X days" or similar clauses in these templates.
Every proposal carries its own Offer valid until date, which the agent sets when sending. Wording in your terms that says something different will clash with it and confuse the client.
Let the proposal carry the expiry and keep the terms to everything else.
What to cover
The default set is a reasonable model: booking and confirmation, the payment schedule, and cancellations and refunds. Beyond that, the terms worth writing are the ones that have cost you money before — supplier cancellation windows, non-refundable deposits, what happens when a traveller drops out of a group.
Tips
- Edit the template here when you want the change on all future trips. Editing the text on one itinerary changes that trip alone.
- Keep the payment wording aligned with the payment schedules you actually use, or the terms and the invoice will disagree.
