Load your agency's standard terms onto a trip, and tailor them when it needs it.

The Terms & Conditions section carries the small print for this particular trip. Whatever sits here is what the client sees in the itinerary preview, the PDF and the share link — so it's client-facing, not an internal note.

Start from a template

Use Load from template to pull in one of your agency's saved sets. Most itineraries start from Standard Terms & Conditions (default), which typically covers booking and confirmation, the payment schedule, and cancellations and refunds.

Once loaded you can edit the Title and Content freely. Changes here apply to this itinerary only — the template itself is untouched.

Managing the templates

The templates come from My Agency → Terms. That's where you edit the standard set or add others, and it's the right place to make a change you want on every future trip. Editing the copy on one itinerary changes that trip alone.

When to tailor

Most trips don't need any changes. Reach for an edit when the trip carries terms the standard set doesn't cover — a non-refundable charter, a permit that can't be rescheduled, a supplier with an unusual cancellation window.

Tips

  • Keep the payment terms here consistent with the Payments schedule. If the plan says a 25% deposit and the terms say 30%, the client will spot it.
  • Because this text ships in the client PDF, read it once before sending a trip with unusual arrangements. It's the section most likely to be left on the default when it shouldn't be.
