Notes, documents and feedback

Who sees which note, where your files live, and what happens when you log client feedback.

Three tabs on the itinerary page handle everything around the plan itself: what you've written, what you've attached, and what the client said back.

Notes — grouped by who sees them

You add notes on individual items as you build. The Notes tab consolidates every one of them, grouped by audience:

  • Internal — team-only. Never sent to a supplier or shown to the client.
  • Vendor — appears on that supplier's voucher.
  • Client — appears on the proposal the client reads.

That grouping is the whole point of the tab. Before anything goes out, it's the one screen that answers "is there anything in here the client shouldn't read?" — and each group carries a count, so an unexpected number under Client is worth a look.

Documents

The Documents tab holds inquiry files shared across every itinerary version, plus this version's own uploads and PDFs. Invoices appear here once created.

This itinerary (exports) gives you Download itinerary PDF and Client preview.

Files get here from two places: attach them on the inquiry, or use File uploads on the itinerary form.

Feedback — and the catch

The Feedback tab has two halves. Emails sent to client logs what you've sent. Log client feedback is where you record what came back — against a specific version, with optional category tags like Pricing, Hotel or Dates.

Read the warning before you use it:

Adding feedback will move the itinerary back to Draft so you can make the requested changes and resend.

That's deliberate — feedback means more work to do, so the trip goes back a step. But it also means invoicing and vouchers lock again until you re-confirm. Don't log feedback on a trip you've already billed unless you mean to reopen it.

Tips

  • Log feedback even when you're about to act on it immediately. Tagged feedback across many trips is the clearest signal you'll get about which part of your product keeps getting pushback.
  • Check the Notes tab before sending a proposal. Team shorthand written in a hurry reads very differently to a client.
